Cancellation and Refund Policy
This policy outlines the terms and conditions for cancellations and refunds for travel services booked through BON VOYAGE. Please read this policy carefully before making a booking.

Important Notice
All cancellation requests must be made in writing via WhatsApp (+91 70024 01010) or email (jyotirmoy.saha@thebonvoyage.co.in). Cancellation charges apply as per the timelines mentioned below. The refund amount (if applicable) will be processed within 15-30 business days after the cancellation is confirmed.
1. General Cancellation Policy
Cancellation charges are calculated based on the number of days before the travel start date when the cancellation request is received. The cancellation charges are applied to the total package cost, and any refundable amount will be processed after deducting applicable charges.
Note: The initial booking deposit (typically 30-50% of the package cost) is non-refundable in most cases, except as specified in special circumstances below.
2. Cancellation Charges Timeline
The following cancellation charges apply based on when the cancellation request is received:
2.1 Domestic Packages (Northeast India, All India)
- More than 30 days before travel: 25% of total package cost (or booking deposit, whichever is higher)
- 15-30 days before travel: 50% of total package cost
- 7-14 days before travel: 75% of total package cost
- Less than 7 days before travel: 100% of total package cost (No refund)
- No-show or cancellation on travel date: 100% of total package cost (No refund)
2.2 International Packages
- More than 45 days before travel: 30% of total package cost (or booking deposit, whichever is higher)
- 30-45 days before travel: 50% of total package cost
- 15-29 days before travel: 75% of total package cost
- Less than 15 days before travel: 100% of total package cost (No refund)
- No-show or cancellation on travel date: 100% of total package cost (No refund)
2.3 Custom Trips
Cancellation charges for custom trips are determined on a case-by-case basis, depending on the services booked and cancellation policies of third-party service providers. We will communicate the specific cancellation terms at the time of booking confirmation.
3. Service-Specific Cancellation Policies
3.1 Accommodation Bookings
- Hotel cancellation policies vary by property and season
- Many hotels require full payment for peak season bookings, which may be non-refundable
- Refunds for accommodation cancellations are subject to the hotel's policy and may take additional time
- We will inform you of specific hotel cancellation terms at the time of booking
3.2 Transportation
- Flight tickets: Subject to airline cancellation policies. Most discounted tickets are non-refundable, while full-fare tickets may allow refunds with charges
- Train tickets: Subject to Indian Railways cancellation charges and policies
- Private vehicles/car rentals: Cancellation charges apply as per the vehicle provider's policy
3.3 Activities and Tours
- Activity bookings (trekking, sightseeing, adventure sports) may have specific cancellation policies
- Some activities require advance booking and may be non-refundable once confirmed
- Weather-dependent activities may be rescheduled instead of cancelled, subject to availability
4. Special Circumstances
4.1 Force Majeure Events
In case of cancellation due to force majeure events (natural disasters, pandemics, government restrictions, war, terrorism, etc.), we will work with you to:
- Reschedule your trip to a later date (subject to availability and price differences)
- Provide credit vouchers for future travel (valid for 12-18 months)
- Process partial refunds after deducting non-recoverable costs from service providers
Full refunds may not be possible if service providers (hotels, airlines, etc.) do not provide refunds to us.
4.2 Medical Emergencies
Cancellations due to medical emergencies (with valid medical documentation) may be considered for:
- Rescheduling to a later date (subject to availability)
- Partial refunds after deducting non-recoverable costs
- Travel insurance claims (if you have purchased travel insurance)
Important: We strongly recommend purchasing travel insurance to cover medical emergencies and other unforeseen circumstances.
4.3 Visa Rejections
If your trip is cancelled due to visa rejection:
- Visa fees are non-refundable
- Refunds for other services will be processed after deducting cancellation charges as per the policy
- We recommend applying for visas well in advance and ensuring all documentation is complete
5. Refund Process
5.1 Refund Eligibility
Refunds are processed only for the refundable portion of your booking after deducting:
- Applicable cancellation charges as per the timeline
- Non-recoverable costs paid to service providers (hotels, airlines, etc.)
- Processing fees (if any)
5.2 Refund Timeline
- Processing Time: 15-30 business days from the date of cancellation confirmation
- Refund Method: Refunds will be processed to the original payment method used for booking
- Bank Transfer: If payment was made via bank transfer, refunds will be processed to the same bank account
- UPI/Digital Payments: Refunds to digital wallets may take 5-7 business days
5.3 Refund Communication
You will receive confirmation of the refund amount and timeline via WhatsApp or email. If you do not receive your refund within the specified timeline, please contact us immediately.
6. Partial Cancellations
If you wish to cancel only part of your booking (e.g., one person from a group, or specific services):
- Partial cancellation charges apply as per the cancellation timeline
- Refunds for cancelled portions will be processed after deducting applicable charges
- The remaining portion of your booking will continue as confirmed
- Price adjustments may apply if group discounts or package rates are affected
7. Rescheduling and Modifications
7.1 Date Changes
Requests to reschedule your trip to different dates:
- Are subject to availability and price differences
- May incur modification fees (typically ₹500-₹2000 per booking)
- Must be requested at least 15 days before the original travel date (for domestic) or 30 days (for international)
- Service provider policies (hotels, airlines) may apply additional charges
7.2 Itinerary Modifications
Changes to the itinerary (destinations, hotels, activities) after confirmation:
- Are subject to availability and price differences
- May incur cancellation charges for original services and new booking charges
- Must be requested in writing and confirmed by BON VOYAGE
8. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance that covers:
- Trip cancellation and interruption
- Medical emergencies and hospitalization
- Baggage loss or delay
- Flight delays and cancellations
- Emergency evacuation
Travel insurance can help protect you from financial losses due to cancellations, especially in cases of medical emergencies, family emergencies, or other covered events. Please review your insurance policy terms carefully.
9. Disputes and Grievances
If you have concerns about cancellation charges or refund processing:
- Contact us immediately via WhatsApp or email with your booking reference and details
- We will review your case and respond within 48 hours
- We are committed to fair resolution and will work with you to address valid concerns
- If unresolved, disputes will be handled as per our Terms and Conditions
